What this agreement covers
These Terms of Service govern your use of meetingnotespro.ca and the Meeting Notes Pro application. By signing up for a Meeting Notes Pro trial or subscription, you agree to these terms. If you do not agree, do not use the product.
This agreement is between you (the subscriber) and Northern Catalyst Technologies, an Alberta corporation. References to “we,” “us,” and “our” mean Northern Catalyst Technologies. References to “you” and “your” mean the individual or entity holding the Meeting Notes Pro subscription.
What you get
A Meeting Notes Pro subscription gives you:
- Use of the Meeting Notes Pro application on the Windows computer or computers you control
- Local PII removal across the categories described on the How It Works page
- AI-generated meeting documentation drafts via AWS Bedrock, with the architecture described on the How It Works page
- Canadian regulatory-aligned templates as they exist at the time of your subscription, with updates included
- Direct support from us via email at sandy@meetingnotespro.ca
What this is, and what it is not
Meeting Notes Pro produces documentation drafts based on AI processing of de-identified meeting transcripts. The drafts are starting points for your professional documentation, not finished records.
You are the advisor, and the final documentation is your professional responsibility. Meeting Notes Pro does not replace your professional judgment, your firm’s compliance review processes, or your obligations under CIRO, PIPEDA, Quebec Law 25, CSA Staff Notice 11-348, or any other regulation that applies to your practice.
The full list of claims we do and do not make about Meeting Notes Pro is on the For Canadian Compliance page. Read it. The “What we do not claim” section is binding for the purposes of this agreement.
Trial and pricing
The 90-day trial costs $29 CAD, paid once at signup. From day 91, your subscription continues at $29 CAD per month, billed automatically by Stripe, until you cancel.
The early adopter price of $29 per month is locked in for as long as you remain a continuous subscriber. If you cancel and resubscribe later, you will pay the standard price in effect at that time.
We do not currently collect GST or HST at checkout. If our tax registration status changes, we will give you 30 days notice before any tax is added to your billing.

Cancelling
You can cancel your Meeting Notes Pro subscription at any time through the Stripe billing portal, accessible from your account dashboard or via the link in any of our billing emails.
When you cancel, your subscription remains active through the end of the current billing period. You will not be billed again. Refunds for partial periods are not provided as a matter of course; if there is a specific reason you believe a refund is appropriate, email us and we will consider it.
After cancellation, the application continues to work for the remainder of your paid period and then disables further AI processing. Your local data, including transcripts and finalised documents you have created, remains on your device. Northern Catalyst Technologies has no copy of it and no way to retrieve it.
How you may use Meeting Notes Pro
You may use Meeting Notes Pro for any lawful purpose related to your professional advisory practice. The product is designed for the documentation of advisor-client meetings, and that is its expected use.
You may not:
- Reverse engineer, decompile, or extract source code from the application
- Resell the subscription or share your account credentials with others
- Use the application to process content for which you do not have appropriate consent or authority
- Use the application in any way that would violate the privacy or rights of any person
- Use the application to develop a competing product
Your firm or dealer network may have its own rules about evaluating and adopting software like Meeting Notes Pro. Following those rules is your responsibility, not ours.
Your account and security
You are responsible for keeping your login credentials secure and for all activity that occurs under your account. If you suspect unauthorised use, change your password and email us immediately at sandy@meetingnotespro.ca.
The application uses encrypted local storage (ChaCha20-Poly1305) for all client data on your device. The security of the device itself is your responsibility, including operating system updates, antivirus software, full-disk encryption where required by your firm, and physical access controls.
Updates and changes to the product
We update Meeting Notes Pro regularly. Updates are included in your subscription and are typically delivered automatically. Some updates change how the product works, including how templates are structured, how the AI processes content, and how the user interface is organised.
We aim not to remove core capabilities you rely on. If we plan a change that materially reduces what the product does, we will tell active subscribers by email at least 30 days in advance.
Service availability
The AWS Bedrock infrastructure that processes meeting transcripts is operated by Amazon Web Services and has its own service availability characteristics. Cloudflare hosts meetingnotespro.ca and has its own availability characteristics. While we work to keep Meeting Notes Pro working at all times, we do not guarantee uninterrupted availability.
If AI processing is unavailable for an extended period, your local application continues to work for everything except the AI step. Once availability is restored, queued processing resumes.
Intellectual property
Meeting Notes Pro, including its application code, templates, validation logic, brand, documentation, and visual design, is the property of Northern Catalyst Technologies. Your subscription gives you the right to use the product, not to own any part of it.
The documentation you produce using Meeting Notes Pro is yours. We do not claim any rights in your output, your client data, or your finalised meeting summaries.
Disclaimers
Meeting Notes Pro is provided “as is” and “as available.” We make the warranties stated in writing on this site and the For Canadian Compliance page. We do not make warranties beyond those, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement, except where applicable Canadian consumer protection law requires otherwise and cannot be waived.
We do not warrant that:
- The product will meet every regulatory requirement of your specific firm or dealer
- The AI-generated drafts will be free of errors or omissions
- Your firm’s compliance officer will approve your use of the product (although feedback to date has been favourable, as documented on the For Canadian Compliance page)
- Documentation produced with Meeting Notes Pro will satisfy a regulator in any specific examination
You are the professional. The product is a tool. Your judgment is what carries the work across the line.
Limitation of liability
To the maximum extent allowed by Canadian law, our total liability to you for any claim arising out of these Terms or your use of Meeting Notes Pro is limited to the amount you have paid us in the 12 months immediately preceding the claim.
We are not liable for indirect, consequential, special, or punitive damages, including lost profits, lost data, or business interruption, even if we have been advised of the possibility of such damages.
This limitation does not apply to:
- Liability that cannot be limited under applicable law
- Our breach of confidentiality obligations
- Wilful or reckless misconduct on our part
Indemnity
You agree to indemnify Northern Catalyst Technologies for any claim arising from your use of Meeting Notes Pro in violation of these Terms, your violation of any third party right, or your violation of any law or regulation. This includes reasonable legal costs.
This indemnity does not require you to indemnify us for our own breach of these Terms or our own negligence.
Termination
We may suspend or terminate your subscription if you breach these Terms in a material way and fail to remedy the breach within 14 days of our notice to you. We may also terminate without notice if you use the product to commit fraud, infringe rights, or violate the law.
You may terminate at any time by cancelling your subscription as described in the “Cancelling” section above.
On termination, the product disables AI processing at the end of your paid period. Your local data remains on your device.
Changes to these Terms
We may update these Terms from time to time. When we make material changes, we will update the “last updated” date at the top and, for active subscribers, send a notice by email at least 30 days before the changes take effect. Continued use after a change means you accept the updated Terms.
If you do not accept a material change, your remedy is to cancel your subscription before the change takes effect.
Governing law and disputes
These Terms are governed by the laws of the Province of Alberta and the federal laws of Canada applicable in Alberta. Any dispute arising out of or related to these Terms will be brought in the courts of Alberta, and you and Northern Catalyst Technologies submit to the exclusive jurisdiction of those courts.
If you are a consumer in a province with mandatory consumer protection rules that apply to this kind of agreement, those rules continue to apply to the extent they cannot be waived by contract.
Severability and entire agreement
If any part of these Terms is found unenforceable, the rest of the Terms remain in effect. These Terms, together with the Privacy Policy, are the entire agreement between you and Northern Catalyst Technologies regarding Meeting Notes Pro and supersede any prior discussions or agreements on the same subject.
